Preamble & Commitment to Privacy

Indiana Student Athlete Collective Inc. (“ISAC,” “we,” “our,” or “us”) is an Indiana Nonprofit Public Benefit Corporation dedicated to supporting Indiana high school student-athletes through education-based programming, leadership development, mentorship, financial literacy, and compliant Personal Branding Activity (PBA) opportunities.

ISAC is deeply committed to protecting the privacy, dignity, and personal information of every student-athlete, parent, guardian, sponsor, educator, and visitor who interacts with our organization, our programs, or our website at www.isacollective.org (the “Website”).

This Privacy Policy (the “Policy”) describes in plain, transparent language what personal information we collect, how we use it, who we may share it with, and what rights you have regarding your information. If you have questions at any time, please contact us at info@isacollective.org.

By accessing or using the Website or participating in any ISAC program, you acknowledge that you have read and understood this Policy. If you do not agree with the terms of this Policy, please do not use our Website or submit personal information to ISAC.

Section 1Scope and Applicability

This Policy applies to all personal information collected by ISAC through the following channels:

  • The ISAC website at www.isacollective.org and all subpages, portals, and linked forms
  • The ISAC Business Sponsor Portal and Student Athlete Portal
  • Email communications sent to or received by info@isacollective.org
  • Paper or electronic registration forms, participation agreements, and consent documents
  • Event registrations, scholarship applications, and summit sign-ups
  • Third-party platforms operated on behalf of ISAC (including HoneyBook, Mailchimp, Calendly, and Stripe)

This Policy does not apply to third-party websites that may be linked from the ISAC Website. ISAC is not responsible for the privacy practices of external websites or services, and users are encouraged to review the privacy policies of any third-party platforms they visit.

Section 2Information We Collect

ISAC collects personal information only to the extent necessary to fulfill our organizational mission and serve our participants.

2.1 Student-Athlete Information

  • Full legal name and preferred name
  • Date of birth and current grade level
  • Email address and phone number
  • Parent or legal guardian contact information
  • IHSAA member school name and county of residence
  • Primary sport(s) and anticipated graduation year
  • Athletic achievements, academic standing, and extracurricular activities
  • Social media handles provided voluntarily for branding and media program participation
  • Photographs, video recordings, and media content produced through ISAC programs
  • Scholarship application materials and educational records submitted voluntarily

2.2 Parent and Guardian Information

  • Full legal name and relationship to the athlete
  • Email address and phone number
  • Signed consent forms, participation agreements, and media authorization documents
  • Communication preferences and correspondence history

2.3 Sponsor and Business Information

  • Business or organization name and primary contact name
  • Business address, email address, and phone number
  • Sponsorship tier selection, contribution amounts, and payment history
  • Signed sponsorship agreements and compliance documentation
  • Tax identification information required for charitable contribution acknowledgment
  • Marketing materials, logos, and brand assets submitted for sponsor recognition

2.4 Website Visitor Information

  • IP address and general geographic region
  • Browser type, version, and operating system
  • Pages visited, time spent on pages, and navigation patterns
  • Referring website or search engine
  • Device type (mobile, tablet, desktop)

This information is collected through website analytics tools and does not identify individual users unless combined with personally identifiable information you have provided voluntarily.

2.5 Voluntarily Submitted Information

  • Contact forms and general inquiry submissions on the Website
  • Newsletter subscription sign-ups
  • Event and summit registrations
  • Athlete Interest Forms
  • Board membership or volunteer applications

Section 3How We Use Your Information

ISAC uses the personal information we collect exclusively for legitimate organizational purposes consistent with our nonprofit educational mission.

3.1 Program Administration

  • Process athlete enrollments, applications, and participation agreements
  • Coordinate mentorship, educational programming, and leadership summit participation
  • Manage scholarship applications and award distributions
  • Track and document athlete benefit distributions for compliance purposes
  • Administer branding, media, and Personal Branding Activity opportunities

3.2 Compliance and Legal Obligations

  • Fulfill IHSAA PBA Bylaw 5-7 notification requirements, including 48-hour Athletic Director disclosures
  • Maintain compliance documentation required by the IHSAA, applicable Indiana law, and federal nonprofit regulations
  • Support IRS Form 990 reporting and 501(c)(3) compliance obligations
  • Respond to lawful requests from regulatory, governmental, or legal authorities

3.3 Sponsor and Donor Relations

  • Process sponsorship contributions and issue tax acknowledgment letters
  • Deliver sponsor recognition benefits and impact reports
  • Maintain records of sponsorship agreements and payment histories
  • Communicate with sponsors regarding program updates, events, and renewal opportunities

3.4 Communications and Marketing

  • Send newsletters, program updates, event announcements, and organizational news to subscribers
  • Communicate with athletes and families regarding program participation and opportunities
  • Promote ISAC events, summits, and initiatives through email and digital channels
  • Share athlete spotlights, sponsor recognition content, and program highlights with authorized consent

3.5 Organizational Operations

  • Improve the Website’s functionality, user experience, and content
  • Evaluate program effectiveness and organizational performance
  • Respond to inquiries, requests, and customer service needs
  • Maintain accurate organizational records and governance documentation

Section 4Protection of Minor Student-Athletes

ISAC recognizes that a significant portion of our participants are minors under the age of eighteen (18). The privacy and protection of minor student-athletes is a paramount organizational priority.

  • ISAC will not collect personal information from a minor without verifiable parental or legal guardian consent
  • All athlete participation agreements executed on behalf of minors require co-signature by a parent or legal guardian
  • Media releases, branding authorizations, and appearance consents for minor athletes require explicit written parental approval prior to use
  • Access to minor athlete records within ISAC is limited to authorized personnel on a need-to-know basis
  • ISAC will not publicly disclose identifying personal information about minor athletes without proper authorization
  • Parents and legal guardians have the right at any time to request review, correction, or deletion of their minor child’s personal information held by ISAC

ISAC complies with applicable federal and Indiana state laws governing the privacy of minors, including the Children’s Online Privacy Protection Act (COPPA) to the extent applicable. If you believe ISAC has inadvertently collected personal information from a minor without appropriate consent, please contact us immediately at info@isacollective.org.

Section 5Information Sharing and Disclosure

ISAC does not sell, rent, trade, or otherwise transfer personal information to outside parties for commercial purposes. We may share personal information only in the following limited circumstances:

5.1 Service Providers

ISAC may share information with trusted third-party service providers, subject to confidentiality agreements and data protection obligations, including:

  • HoneyBook (contract management and payment processing)
  • Mailchimp (email communications and newsletter distribution)
  • Calendly (scheduling and appointment management)
  • Stripe (secure payment processing)
  • Zapier (workflow automation)
  • Zoom (virtual meeting and event hosting)
  • QuickBooks (nonprofit accounting and financial reporting)

Each of these providers maintains their own privacy policies, and ISAC encourages participants to review those policies independently.

5.2 IHSAA and Educational Institutions

Pursuant to IHSAA PBA Bylaw 5-7, ISAC is required to notify the Athletic Director of a student-athlete’s school within forty-eight (48) hours of executing any Athlete Participation Agreement. This disclosure is limited to the executed agreement and is made solely for the purpose of IHSAA compliance verification.

5.3 Legal and Regulatory Requirements

ISAC may disclose personal information when required by applicable law, court order, subpoena, or lawful governmental request, or when we believe in good faith that disclosure is necessary to protect the rights, safety, or property of ISAC, its participants, or the public.

5.4 Organizational Successors

In the event of a merger, consolidation, or transfer of substantially all ISAC assets to another nonprofit organization, personal information held by ISAC may be transferred to the successor organization, subject to the same privacy commitments contained in this Policy.

Section 6Email Communications and Subscription Management

ISAC may send the following categories of email communications to individuals who have subscribed or who have an existing relationship with the organization:

  • Monthly ISAC newsletters and organizational updates
  • Event invitations and Economic Empowerment Summit announcements
  • Program opportunities, scholarship announcements, and athlete spotlights
  • Sponsor recognition communications and impact reports
  • Compliance updates and PBA framework information
  • Board and organizational news

You may unsubscribe from ISAC email communications at any time by clicking the unsubscribe link included in every email or by contacting us directly at info@isacollective.org. Please allow up to ten (10) business days to process your unsubscribe request. Transactional emails related to active program participation, signed agreements, or payment processing may continue to be sent regardless of subscription status.

Section 7Financial Transactions and Payment Security

ISAC processes financial transactions, including sponsorship contributions, donations, and event registrations, through secure third-party payment processors.

  • ISAC does not store complete payment card numbers, CVV codes, or bank account numbers on its servers or systems
  • All payment processing is handled through PCI-DSS compliant third-party providers, including Stripe and HoneyBook
  • Financial contribution records are maintained for tax compliance, IRS reporting, and donor acknowledgment purposes
  • Charitable contribution acknowledgment letters are issued consistent with IRS requirements for 501(c)(3) organizations
  • Sponsors and donors may request a record of their contribution history by contacting info@isacollective.org

Section 8Website Analytics and Tracking Technologies

ISAC may use website analytics tools, including Google Analytics and Meta Pixel, to collect non-personally identifiable information about how visitors interact with our Website. Analytics data collected may include:

  • Pages viewed and navigation paths
  • Session duration and bounce rate
  • Approximate geographic location (city/state level only)
  • Device type, browser, and operating system
  • Referring websites and search terms

ISAC does not use analytics data to identify individual users without their consent. You may opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on available at tools.google.com/dlpage/gaoptout.

ISAC may also use social media pixels (such as the Meta/Facebook Pixel) to measure the effectiveness of our advertising and to reach individuals who may be interested in ISAC programs. You may manage your ad preferences through your social media platform account settings.

Section 9Data Security

ISAC implements reasonable and appropriate administrative, technical, and physical safeguards designed to protect the personal information in our care from unauthorized access, disclosure, alteration, destruction, or misuse. These measures include:

  • Secure HTTPS encryption for all Website data transmissions
  • Password-protected access controls for internal systems and participant records
  • Limited access to personal information on a need-to-know basis for authorized personnel only
  • Use of reputable, security-compliant third-party service providers
  • Regular review of data handling practices and organizational security procedures

Important Notice: While ISAC takes data security seriously, no method of electronic transmission or data storage is completely secure. ISAC cannot guarantee the absolute security of any information transmitted to or stored by us. In the event of a data breach that affects your personal information, ISAC will notify affected individuals as required by applicable Indiana and federal law.

Section 10Your Rights and Choices

Depending on your relationship with ISAC and applicable law, you may have the following rights regarding your personal information:

10.1 Access and Correction

You have the right to request access to the personal information ISAC holds about you and to request correction of inaccurate or incomplete information. To submit a request, contact us at info@isacollective.org.

10.2 Deletion

You may request deletion of your personal information from ISAC’s records, subject to applicable legal retention requirements and our compliance obligations. Note that ISAC may be required to retain certain records related to executed agreements, financial transactions, and compliance documentation regardless of a deletion request.

10.3 Withdrawal of Consent

Where you have provided consent to the collection or use of your information (including media authorizations and communications subscriptions), you may withdraw that consent at any time by contacting us at info@isacollective.org. Withdrawal of consent does not affect the lawfulness of any processing that occurred prior to withdrawal.

10.4 Minor Athletes

Parents and legal guardians may exercise any of the rights described in this Section on behalf of their minor child by contacting ISAC at info@isacollective.org.

Section 11Retention of Information

ISAC retains personal information for as long as necessary to fulfill the purposes for which it was collected, to comply with our legal and regulatory obligations, and to support the organizational mission. Specific retention periods are as follows:

  • Athlete participation agreements and compliance records: minimum of seven (7) years from date of execution
  • Sponsor agreements and financial contribution records: minimum of seven (7) years for tax and IRS compliance
  • Email subscription and communication records: retained until unsubscribe request is processed
  • Website analytics data: retained in aggregated, anonymized form for program evaluation purposes
  • Media content and athlete photographs: retained with valid authorization on file; removed upon revocation of consent

Section 12Third-Party Links and External Websites

The ISAC Website may contain hyperlinks to external websites, social media platforms, partner organizations, and third-party resources. ISAC does not control the content, privacy practices, or data handling of external websites and is not responsible for their privacy policies.

We encourage all users to review the privacy policies of any external website they visit through a link on the ISAC Website. The inclusion of a link to an external website does not constitute an endorsement by ISAC of that website or its privacy practices.

Section 13Changes to This Privacy Policy

ISAC reserves the right to update, modify, or revise this Privacy Policy at any time to reflect changes in our practices, applicable law, or organizational operations. When we make material changes to this Policy, we will:

  • Post the revised Policy on www.isacollective.org with an updated Effective Date
  • Notify registered users and subscribers via email where required by applicable law
  • Display a prominent notice on the Website homepage for a reasonable period following material revisions

Your continued use of the Website or participation in ISAC programs following the posting of any revised Privacy Policy constitutes your acceptance of the revised terms. If you do not agree with any revised terms, you should discontinue use of the Website and contact us to discuss your options.

ISAC welcomes questions, concerns, and requests related to this Privacy Policy or our data handling practices. We are committed to responding to all privacy-related inquiries within ten (10) business days.
